Your data in AirFleet
What the logbook stores, who else sees it, and how to get it back or erase it.
What we store
- Account — username, email, name, bio and home airport, plus a hashed password (never the password itself).
- Flights — airports, dates and times, aircraft registrations, logbook times, weather, notes, flight plans and photos. Together these are a record of where and when you flew.
- Aircraft — registrations, types, hours and maintenance dates you enter.
- Instruction — who your instructors and students are; each sign-off, with the instructor's name, certificate number and expiry, their remarks and a copy of the flight's logbook fields as signed; and endorsements, with their wording, dates and the same instructor details. Withdrawn sign-offs and endorsements are kept, marked withdrawn, with the reason given.
- Quick log descriptions — read once to fill in the new-flight form, then discarded. Only the fields you save are kept.
- Flight plan PDFs — read once to fill in a draft flight, then discarded. The PDF isn't stored and isn't sent to anyone else; only the fields you save are kept.
- Cookies — only the sign-in tokens that keep you logged in. No advertising or tracking cookies.
Why
To run your logbook: keep your flights, work out totals, currency and rankings, and send you password-reset emails. We don't sell your data or use it for advertising.
Who else handles it
- Google Gemini and Groq — only when you use quick log: the description you type, your local time and your aircraft's registrations and types, so an AI model can fill in the form. Nothing else from your logbook is sent. These services may keep what's sent and use it to improve their models, so leave out anything you wouldn't want shared.
- Google — only if you sign in with Google, to confirm your email address.
- aviationweather.gov and SimBrief — when you fetch weather (airport code and date) or import a flight plan (your SimBrief username).
- Hosting — the app, database, photo storage and email are run by our hosting providers, who store data on our behalf.
Instructors
An instructor you link with can see your flights that have dual received time: route, times, aircraft, logbook columns, landings and approaches. Not your notes, photos or other flights. Unlinking stops that straight away. They also see the endorsements they have given you, and no one else's. Sign-offs and endorsements stay on your record, with the instructor's name and certificate number, even if they later delete their account. Your CSV export includes who signed each flight.
Public profiles
Your logbook is private unless you turn on Public profile. Then anyone with the link can see your profile, totals, route map and flights (route, times, aircraft and photo), which shows where you have flown and when. Notes, gates and flight plans stay private. Your username and totals appear in rankings either way.
Your choices
- See and correct — edit your profile and any flight at any time.
- Take it with you — export your logbook as CSV from the logbook page.
- Erase it — delete your account from your profile page. Your profile, flights, aircraft and photos are deleted straight away; database backups expire on their own shortly after.
AirFleet is a personal logbook, not an official record-keeping system. As pilot, you remain responsible for your own logbook under your aviation authority's rules.
